A case study can reveal things no survey or experiment ever could. It gets close – close to the person, the context, the messy reality of human experience. But that closeness comes with responsibility. A case study isn’t just about gathering rich detail; it’s about communicating that detail in a way that allows readers to follow the evidence, trust the conclusions, and understand how those conclusions might apply beyond the single case being examined. Getting that right requires meeting a specific set of methodological and reporting requirements – and understanding why each one matters.

What makes a case study more than just a story

Case studies in psychology are a detailed investigation of an individual, group, or event – often used to explore psychological phenomena that would be difficult or unethical to study through controlled experiments. But the depth of a case study is only valuable if it is structured in a way that communicates findings effectively. A well-conducted case study must do more than describe – it must present evidence convincingly, allow the reader to follow the logic behind its conclusions, and offer a framework that helps apply those findings to broader contexts.

Research published in the Journal of the Medical Library Association highlights that the rigor of a case study comes directly from its design components: the clarity of research questions, the propositions guiding analysis, the unit of analysis, and – critically – the criteria used to interpret findings. These aren’t optional features. They are the backbone of a case study that earns credibility.

Defining the case clearly

One of the first and most essential requirements is defining exactly what the “case” is. This sounds obvious, but in practice it’s where many case studies go off track. The boundaries of the case – who or what is being studied, over what time period, and within what context – must be established from the outset.

A focused, well-defined case keeps the study coherent. It also determines what data needs to be collected and what methods are appropriate for collecting it. According to Yin’s foundational work on case study methodology, arriving at even a tentative definition of the case helps enormously in organizing the research – and while definitions can shift as early data is gathered, those shifts should be handled carefully and transparently.

Formulating clear research questions

No case study can be conducted effectively without clear research questions. These questions determine the focus of the inquiry and guide every subsequent decision – from what data to collect to how to analyze it.

Research questions in case studies typically begin with “how” or “why,” because case studies are best suited to exploring processes, mechanisms, and context rather than simply measuring outcomes. A study examining how early childhood trauma shapes adult attachment patterns, for instance, requires a question that invites in-depth exploration rather than a yes/no answer. Research on psychotherapy case studies notes that case studies can only “speak for” a conclusion rather than definitively prove it – which makes the precision of the research question all the more important in framing what the study can and cannot claim.

Providing comprehensive background and context

A case study does not exist in a vacuum. For readers to meaningfully engage with the findings, they need to understand the context in which the case sits. This includes background information about the subject – demographic details, relevant history, environmental factors, and any prior conditions that might influence the behavior or outcomes being studied.

A BMC Medical Research Methodology paper on case study approaches emphasizes that when reporting findings, researchers must provide sufficient contextual information so that the reader can understand the processes followed and how conclusions were reached. This contextual grounding is not just background filler – it is the scaffolding that makes the rest of the case study interpretable. Without it, even well-collected data becomes difficult to evaluate.

This requirement also connects to the need for a thorough literature review. Grounding the case in existing theory and prior research ensures the study contributes to a field rather than simply describing an isolated event. Case studies should aim to either exemplify, expand on, or challenge existing theory – and that is only possible when the researcher has situated the case within what is already known.

Rigorous and multi-source data collection

One of the defining strengths of the case study is its use of multiple data sources. Sources of evidence can include interviews, direct observations, archival records, documentation, and physical artifacts – and drawing on several of these simultaneously is not just encouraged, it is a methodological requirement for a robust case study.

This multi-source approach serves a critical purpose: triangulation. When different types of data point to the same conclusion, confidence in that conclusion increases significantly. Relying on a single source – for example, only self-report interviews – leaves the study vulnerable to bias, both on the part of the participant and the researcher. A case study that combines interview data with observational notes and archival records is far better positioned to produce findings that readers can trust.

As noted in research on psychological case study methodology, the case study must produce valid and reliable results to be useful for the development of future research – and that validity depends heavily on how thoroughly and carefully data is collected.

Presenting evidence transparently and convincingly

Collecting good data is necessary but not sufficient. How that data is presented to the reader is equally important. The evidence must be laid out in a way that allows readers to follow the chain of reasoning – from raw data to interpretation to conclusion – without having to take anything on faith.

Research from Empirical Software Engineering on case study reporting guidelines identifies a clear chain of evidence as a core requirement: the categories used in data classification, the logic linking evidence to conclusions, and the theoretical context in which those conclusions are set must all be made visible to the reader. Categories and patterns used in analysis should be explained so readers can evaluate whether they are reasonable.

This transparency also means acknowledging what the data does not show. A case study that presents only confirming evidence while glossing over complications or contradictions loses credibility. Researchers must present evidence in a balanced way, even when it complicates their conclusions.

Logical reasoning behind generalizations

One of the most debated aspects of case study research is generalization. Because case studies typically examine a single individual or a small group, the question of whether findings can be extended to broader populations is a legitimate one. But the answer is more nuanced than a flat “no.”

Case studies support what researchers call analytical generalization – rather than generalizing to a population, the researcher generalizes findings to a theoretical framework. Yin’s concept of analytical generalization involves comparing case study data to existing theory, testing whether the findings align with, extend, or challenge theoretical propositions. When they do, the case study contributes to broader knowledge – not by claiming statistical representativeness, but by strengthening or refining theory.

Yin further clarifies that generalizations from case studies function more like working hypotheses than definitive conclusions – claims that are logically sound and resistant to challenge, but open to refinement as new evidence from additional case studies accumulates. The key requirement, then, is that any generalization must be argued carefully, with clear reasoning and explicit connection to prior theory or evidence.

Research on multiple case narrative approaches also highlights that using more than one case strengthens the basis for generalization – findings that emerge consistently across multiple cases carry more weight than those from a single instance.

Addressing researcher bias and maintaining objectivity

Because case study research is inherently interpretive, the risk of researcher bias is real and must be actively managed. A well-documented challenge in case study research is that researchers may unconsciously select cases or interpret data in ways that confirm their preconceptions. The way the case is written up, the details chosen for inclusion, and the framing of conclusions can all reflect the researcher’s perspective rather than an objective reading of the evidence.

Managing this requires several practices: maintaining a case study database that preserves raw data separately from interpretations, using multiple researchers or peer review where possible, and being explicit about the researcher’s role and potential biases in the written report. Guidelines on case study quality in health services research recommend that researchers locate their work within a clear paradigm – being upfront about the philosophical assumptions guiding the research – so that readers can assess how those assumptions may have shaped the findings.

Ethical standards and participant protection

Case studies in psychology often involve individuals sharing sensitive personal information, which creates significant ethical obligations. Informed consent, confidentiality, and the anonymization of identifying details are baseline requirements. The BMC case study approach paper notes that care must be taken to ensure the anonymity of both case sites and individual participants, using appropriate codes or withholding descriptors when agreed in advance.

There is also the ethical requirement of competence. Case studies involving atypical behavior or development should only be conducted by a qualified professional – a psychologist, therapist, or psychiatrist – who has both the clinical expertise to interpret the data accurately and the ethical training to handle the participant’s welfare responsibly.

Structured, reader-friendly reporting

All of the above requirements come together in the final write-up. A case study report must be structured so that readers can easily follow the argument. Several structures have been proposed for case study reporting, including the standard linear-analytic format (problem, related work, methods, analysis, conclusions) and comparative formats that present the same case from multiple angles. The choice of structure should serve the type of case study and the nature of the argument being made.

What all good case study reports share is clarity: the research question is stated clearly, the context is established, the evidence is presented transparently, the reasoning is made explicit, and the conclusions are appropriately qualified. Accurate and ethical reporting means neither overstating nor understating the implications of the study – if the findings apply to a specific context, they should not be presented as universal truths. Clear, precise language, accessible to both academic and general audiences, is a practical standard every case study report should aim to meet.

Done well, a case study is one of the most persuasive and insightful tools in psychological research. It earns that status not through storytelling alone, but through meeting the rigorous structural, evidential, and ethical requirements that allow readers to trust what they are reading – and to take something meaningful from it.
