That’s exactly where tables and figures earn their place. Far from being optional add-ons, they are strategic communication tools that shape how readers engage with your findings. Knowing when to use them, which one to choose, and how to format them correctly can be the difference between a research report that lands and one that loses its audience.

What tables and figures actually do in a research report

Tables and figures serve one core purpose: to enhance reader understanding. As the Purdue OWL APA guide puts it, large amounts of information can be communicated far more efficiently through visual display items than through running text alone. They are not there to fill space, and they should never be used to dress up marginally significant results. Every table and figure included in a report must justify its existence by genuinely helping the reader understand something they couldn’t grasp as easily from text.

According to a peer-reviewed editorial in the Journal of Postgraduate Medicine, readers – and especially journal editors and reviewers – frequently go directly to the tables and figures before reading the full text. This means your visual elements function almost like an executive summary of your results. They need to be clear, accurate, and self-explanatory, because a significant portion of your audience will form their first impression of your research from them.

The difference between a table and a figure

These two terms are often used loosely, but in formal research writing they have distinct meanings. A table uses a row-and-column structure to organize information – typically numerical data, means, standard deviations, frequencies, or categorical comparisons. A figure is any graphical display that is not a table: this includes bar graphs, line graphs, scatter plots, pie charts, diagrams, photographs, and illustrations.

The distinction matters because each type serves a different communicative function. As Elsevier’s scientific publishing guidance notes, tables display information in a grid format suited to exact values, while figures convey information visually and are better suited to patterns and relationships. Choosing the wrong format can obscure rather than clarify your results.

When to use a table

Tables shine when precision matters. If your reader needs to inspect exact numerical values – for example, comparing mean scores across four participant groups – a table makes those numbers easy to find and cross-reference. Editage’s researcher guidance advises that tables are the best choice when presenting numerical data that needs to be systematically compared, particularly when there are large sets of values to display.

That said, not every number belongs in a table. The APA Publication Manual is clear on this: data that would require only two or fewer columns and rows should simply be stated in the text. A table with three numbers is unnecessary overhead – it interrupts reading without adding clarity. Reserve tables for genuinely complex numerical data where the row-and-column layout does real organizational work.

Key components of a well-structured table

Every APA-formatted table follows a standard anatomy. The table number appears above the table in bold (e.g., Table 1). Directly below it, in italics, sits the table title – this should be concise but descriptive enough that the table makes sense without reading the surrounding text. Then come the column headings, which label each category of data clearly. The body contains the actual data, and entries should be consistent in the number of decimal places reported throughout. Below the table, notes appear in three ordered types: general notes (explaining abbreviations or data sources), specific notes (flagging individual cells), and probability notes (denoting statistical significance with asterisks).

When to use a figure

Figures are the better choice when your goal is to show a trend, a pattern, or a relationship across data points. Ref-n-Write’s academic writing guidance offers a useful rule of thumb: if you want to illustrate trends and patterns, use a figure; if you want to show actual values, use a table.

Consider a study tracking anxiety scores in participants across six weeks of a cognitive-behavioural intervention. A line graph immediately communicates the trajectory – whether scores declined steadily, dropped sharply in week three, or plateaued. That same information in a table of six means would be accurate, but the visual narrative would be lost. The figure does something the table cannot: it lets the reader see the shape of the data at a glance.

Types of figures commonly used in psychology research

The Purdue OWL APA guide on figures identifies the most common graph types and when each is appropriate. Scatter plots are used to show the relationship between two continuous variables. Line graphs depict changes in a variable over time, with the independent variable on the x-axis and the dependent variable on the y-axis. Bar graphs compare discrete categories and come in simple, multiple, or sliding formats depending on the complexity of the data. Pie charts show proportional breakdowns of a whole. The choice between these is not arbitrary – it should follow directly from what the data represents and what you want the reader to notice.

Anatomy of a figure in APA format

How tables and figures interact with the text

One of the most common mistakes in research writing is treating tables and figures as standalone additions that don’t need to connect to the text. They should never appear in a report without being explicitly referenced in the body of the paper – something like “as shown in Table 1” or “Figure 2 illustrates the distribution.” But referencing is not the same as repeating. Research Unwrapped’s guidance on display items advises authors to draw the reader’s attention to the key finding without restating every value the table already shows. The text directs; the table or figure delivers the detail.

There is also a firm rule against presenting the same data twice. Hamilton College’s APA writing guide states clearly that a set of findings may be presented either as a table or as a figure, but not as both. Duplication wastes space and signals poor editorial judgment. Choose the format that best serves the data and commit to it.

Practical rules for deciding which format to use

A simple decision framework helps when you’re unsure whether to use text, a table, or a figure. First, ask whether the data can be stated in one or two sentences. If yes, write it in the text – no visual display is needed. If the data is too complex or numerous to summarize briefly, it belongs in a display item. Then ask what you want the reader to focus on: exact values point toward a table; patterns and trends point toward a figure.

Beyond format selection, Editage’s guidelines for display items emphasize two non-negotiable qualities. First, every table and figure must be self-explanatory – a reader should be able to understand it without consulting the surrounding text, which is why precise titles, labelled axes, and explanatory notes are essential. Second, consistency across the document is critical: abbreviations, group names, units of measurement, and terminology used in the tables and figures must match exactly what appears in the text. Inconsistency confuses readers and undermines the credibility of the report.

Common mistakes to avoid

Several errors appear repeatedly in student and early-career research reports. Over-relying on tables for data that could be stated plainly in a sentence or two adds clutter without adding clarity. Using three-dimensional effects or excessive visual styling in figures – shading, layered text, decorative borders – draws attention away from the data itself and can distort how values are perceived. Purdue OWL warns that communication and readability must be the ultimate criteria for figure design; anything that does not serve those goals should be removed.

Another frequent error is vague or incomplete titles. A table titled simply “Results” tells the reader nothing. A title like “Mean Anxiety Scores by Treatment Group Across Six Weeks” tells them exactly what they are looking at. Similarly, referencing a table by its page location – “the table above” or “the table on page 12” – is incorrect under APA guidelines, since page numbers shift during editing. Always reference by number: “as shown in Table 2.”

Finally, never use tables or figures to make weak findings look more impressive. As the APA guidelines state directly, visual material must assist communication – not disguise marginally significant results behind a screen of complex statistics. Transparency and accuracy are not just stylistic values in psychological research; they are ethical ones.
