Case study research is one of the most powerful tools in psychology – but its strength depends almost entirely on how well it is designed and executed. A well-conducted case study can reveal nuanced insights into human behavior that no survey or experiment can capture. Yet without careful attention to certain key measures, even the most fascinating case can produce conclusions that are unreliable, unconvincing, or impossible to apply beyond the single subject studied. This post breaks down the most important considerations that researchers must address to make case study research rigorous, credible, and meaningful.

Defining the research problem clearly

The very first step in case study research is establishing a firm research focus – one the researcher can return to throughout the entire process. Problem representation refers to how clearly and accurately the research problem is identified and framed at the outset. This is not merely a formality. In case study research, where the subject matter is often complex, layered, and deeply contextual, a vague or poorly stated problem can derail everything that follows.

A well-defined research problem determines where to look for evidence, which data collection tools to use, and how to interpret findings. Careful definition of the questions at the start pinpoints where to look for evidence and helps determine the methods of analysis to be used in the study. Researchers are also advised to conduct a literature review early on – not to duplicate existing work, but to refine their questions and situate the case within broader knowledge.

In psychology, this is especially important because the research object – often an individual, a group, or a clinical event – is deeply embedded in personal, social, and historical context. A case study examining a child’s behavioral patterns, for instance, must define whether the problem is neurological, environmental, relational, or some combination. Without that clarity, the entire investigation risks drifting.

Ensuring congruency between the research question and original intent

One of the more subtle but critical measures in case study research is maintaining congruency – that is, ensuring the research question remains aligned with the original purpose of the study throughout the process. It is easy for this alignment to slip, especially in long-running or exploratory studies where new data can pull the researcher in unexpected directions.

A key characteristic of rigorous case study research is that conclusions are based on a clear chain of evidence – whether qualitative or quantitative – collected from multiple sources in a planned and consistent manner. If the research question shifts midway, that chain of evidence breaks. Data collected under one framework cannot cleanly answer a question that was reformulated halfway through the study.

Researchers are encouraged to continually revisit their original intent during data collection and analysis. The pitfall many novice researchers fall into is being distracted by the mounds of interesting data that are superfluous to the research question. Returning regularly to the propositions or core issues helps avoid this. In practical terms, this may mean keeping the original research protocol visible during analysis, or scheduling periodic check-ins where the researcher asks: does what I’m finding still address what I originally set out to understand?

Systematic gathering of evidence

Case study research is defined partly by its reliance on multiple, diverse sources of evidence. Sources of evidence for case studies include interviews, documentation, archival records, direct observations, participant-observation, and physical artifacts. Each source captures a different dimension of the case, and no single source is sufficient on its own.

The systematic nature of evidence gathering is just as important as the diversity of sources. Robert Yin suggests three principles of data collection for case studies: use multiple sources of data, create a case study database, and maintain a chain of evidence. These principles are not optional extras – they are the foundation on which the credibility of the entire study rests.

The role of triangulation

Triangulation is the practice of cross-checking findings across different data sources or methods to test their consistency. When using multiple data sources, a case can be examined more convincingly and accurately, compensating for the weaknesses of the respective data sources. In other words, if an interview finding is corroborated by observational data and documentary records, researchers can have much greater confidence in that conclusion than if it rested on interview data alone.

Triangulation also helps control for researcher bias – an ever-present risk in qualitative research where interpretation plays a large role. The use of data triangulation, which integrates qualitative and quantitative data sources, enhances empirical rigor and mitigates researcher bias. Consider a case study examining the psychological impact of workplace stress on an employee. If the researcher collects self-report data from the employee, performance records from HR, and observations from a line manager, the resulting picture is far richer – and far more defensible – than any single account.

Building a case study database

A case study database is a structured, organized collection of all the raw data gathered during the study – field notes, interview transcripts, documents, artifacts, and so on. Maintaining such a database serves two purposes. First, it makes the evidence transparent and auditable; other researchers or reviewers can examine the raw material if needed. Second, it protects the chain of evidence, making it possible to trace every conclusion back to its source data. This is a crucial safeguard against selective reporting or unconscious distortion of findings.

Interpreting evidence carefully and systematically

Gathering evidence is only half the work. How that evidence is interpreted determines whether the case study produces genuine insight or misleading conclusions. Because case studies are based on the analysis of qualitative data, a lot depends on the researcher’s interpretation of the information acquired – meaning there is considerable scope for subjective opinions to intrude in the assessment of what the data means.

This is a well-documented risk. Sigmund Freud, for instance, has been criticized for producing case studies in which information was sometimes shaped to fit predetermined theoretical conclusions. The solution is not to eliminate interpretation – that is impossible in qualitative research – but to make the interpretive process systematic and transparent.

Systematic interpretation involves several practices. Researchers should document their reasoning explicitly, explaining why particular conclusions were drawn from particular pieces of evidence. They should actively search for disconfirming evidence – data that challenges or complicates their emerging conclusions – rather than only looking for confirmation. The ability to search for disproving evidence may lead to a reduction in confirmation bias, and maintaining a chain of evidence allows for greater transparency in how conclusions were reached.

Enhancing reliability and convincability

Reliability in case study research refers to whether the study, if repeated by a different researcher using the same protocol, would produce consistent results. Convincability – sometimes called credibility – refers to whether readers find the conclusions believable and well-supported by the evidence presented. Both are essential, and both are actively built through methodological choices rather than assumed.

Findings are discovered through constant comparison of the case with the research issues, and the case is the unit of analysis. Reliability is strengthened through the use of a detailed case study protocol – a formal document that records all procedures for data collection and analysis. When researchers follow a consistent protocol, replication becomes more plausible. Convincability is enhanced by presenting evidence transparently, using direct quotations from participants to anchor interpretations, and relating findings back to existing literature to show how the case fits into or challenges what is already known.

The general criteria for ensuring rigor in qualitative case study research are credibility, transferability, dependability, and confirmability. Each of these serves a distinct function: credibility ensures the findings accurately reflect the case; transferability concerns whether findings might apply in other contexts; dependability is analogous to reliability; and confirmability ensures the conclusions stem from the data rather than researcher bias.

Addressing generalizability

A common criticism leveled at case study research is that its findings cannot be generalized because they are drawn from a single case or a small number of cases. This criticism, while understandable, rests on a misunderstanding of what case studies are designed to do. Case studies are generalizable to theoretical propositions – what is called analytic generalization – rather than to populations or universes as in statistical generalization. The purpose of the case study investigation is to expand theory, not to undertake statistical generalization.

This distinction matters enormously. When a case study reveals how a specific trauma shaped a person’s attachment patterns, it is not claiming this is true of all people – it is testing or extending theoretical understanding of how trauma operates. The strength of that contribution depends not on sample size but on the depth and rigor of the investigation.

Researchers can also enhance the transferability of their findings by providing rich, detailed descriptions of the case and its context. The depth and richness of description helps readers understand the situation and whether findings from the case are applicable to their own settings. When readers have enough contextual information, they can make informed judgments about whether the case’s insights apply to situations they are familiar with.

Structuring the case report effectively

The final – and often underappreciated – measure is how the case study is reported. A well-executed investigation can be undermined by a poorly written report. The culmination of case study research is a detailed report that presents findings in a compelling, accessible manner, yet reporting often receives less attention in methodological discussions than design and data collection.

A well-structured case report typically moves through several stages: an introduction that contextualizes the case and states the research question; a methodology section explaining how evidence was gathered; a results section presenting findings organized by theme or category; a discussion that interprets findings in relation to the research question and existing literature; and a conclusion that summarizes implications and acknowledges limitations.

Crucially, the report must maintain a clear narrative thread throughout. Authors are encouraged to over- rather than under-report relevant facts and hypotheses, and direct quotations from key informants should be used to support the main points. At the same time, the researcher must resist the temptation to include everything – the report should foreground what is relevant to the research question, not everything that was discovered.

Different structural formats serve different purposes. A linear-analytic format suits academic audiences. A chronological structure works well for cases that unfold over time. A comparative structure is effective when multiple cases are being examined side by side. Choosing the right structure for the intended audience is itself an important methodological decision.

Why these measures matter together

None of these considerations works in isolation. A clearly defined research problem that drifts from its original intent loses its analytical anchor. Systematic evidence gathering without careful interpretation produces raw data without meaning. A rigorously interpreted case that is poorly reported fails to communicate its value. These measures form an integrated system – each reinforces the others, and neglecting any one of them weakens the whole.

Taken together, they are what distinguish a genuine case study from a mere anecdote. They are what allow case study research to stand alongside other methodologies as a credible, valuable way of advancing psychological knowledge – particularly in areas where numbers alone cannot tell the full story.
