For many people, going to work involves a commute, a desk, a computer, and a set of tasks – all taken for granted. But for persons with disabilities (PwDs), the ability to participate in employment often depends heavily on having the right tools in place. Work-related assistive devices are not just helpful additions to a workspace; they are often the difference between exclusion and full professional participation. From motorized wheelchairs to screen readers and Braille displays, these devices directly shape how PwDs navigate, communicate, and contribute in the workplace.

Assistive technology (AT) is a broad term covering both devices and services that help individuals with disabilities increase their functional independence and overall well-being. According to the Technology-Related Assistance for Individuals with Disabilities Act of 1988, an assistive technology device is any item – whether purchased off the shelf, modified, or fully customized – that is used to increase, maintain, or improve a person’s functional capabilities. In the workplace context, these devices reduce or remove barriers that would otherwise prevent PwDs from performing their jobs effectively and independently.

The U.S. National Institute of Child Health and Human Development categorizes assistive devices into several major types, including mobility aids, hearing aids, cognitive aids, and computer hardware and software – each targeting a distinct area of functional limitation. The following sections explore the primary categories relevant to workplace participation.

Mobility devices in the workplace

Mobility is a prerequisite for almost every work activity – entering a building, moving between departments, or simply getting to a workstation. For PwDs with mobility impairments, this is where assistive technology begins.

Wheelchairs, scooters, and walking aids

Under ADA regulations, covered workplaces and public facilities must allow persons with disabilities who use wheelchairs – including manual wheelchairs, power wheelchairs, and electric scooters – access to all areas where others are permitted to go. Manual wheelchairs are propelled by the user or an attendant and are suitable for those with upper body strength. Power wheelchairs and electric scooters serve those who cannot self-propel, offering independent movement with minimal physical effort.

For those who can walk but need support, walking aids such as canes, crutches, and walkers provide balance and weight-bearing support. Each device is selected based on the user’s specific condition, strength, and work environment. Research from the National Academies of Sciences notes that standing wheelchairs and scooters with power-elevating seats are commonly used as workplace accommodations, allowing users to access shelves, tabletops, and cabinets that would otherwise be out of reach, and to maintain eye-level interaction with colleagues.

Physical workplace modifications

Mobility devices alone are not sufficient without a compatible physical environment. Ramps, wider doorways, accessible restrooms, grab bars, and stair lifts are physical modifications that make a building usable for PwDs who use mobility aids. The Connecticut Office of Accessibility lists ergonomic and adjustable desks, automatic door openers, and ramps as standard tools that support physical access to the workspace. Without these environmental modifications, even the most sophisticated mobility device cannot guarantee full participation.

Sensory assistive devices

Sensory impairments – particularly those affecting vision and hearing – present unique challenges in the workplace. Fortunately, a well-developed range of assistive devices addresses these needs directly.

Devices for visual impairments

Screen readers are software programs that convert on-screen text into synthetic speech or Braille output, enabling people who are blind or have low vision to access computers fully. Popular options include JAWS for Windows, NVDA, and VoiceOver for Mac. Screen magnification software goes further by allowing users to enlarge text and graphics in context – different from a basic zoom function – so that they can view enlarged content in relation to the rest of the screen simultaneously.

For those who prefer tactile reading, Braille displays are mechanical devices that raise and lower pins dynamically to display one line of Braille at a time. Modern Braille devices function as small computers and can be used to take notes, calculate, and interface with other digital systems. These tools are particularly useful in professional settings where reading documents, emails, and reports is a routine part of the job.

Devices for hearing impairments

Hearing aids remain one of the most widely used sensory assistive devices in the workplace. Advanced hearing aids can now connect directly to smartphones, computers, and conference systems, providing clearer and more personalized audio for employees with hearing impairments. Noise-canceling technology and directional microphones in these devices also enhance focus and communication in busy office environments.

Beyond hearing aids, Communication Access Realtime Translation (CART) – which provides real-time captioning – is recognized by the Job Accommodation Network (JAN) as a viable worksite accommodation for individuals who are deaf or hard of hearing. Closed captioning in digital meetings, video content, and presentations further ensures that employees with hearing impairments are not excluded from information-sharing at work.

Assessing device effectiveness

Selecting an assistive device is only the first step. Knowing whether it actually works for the user in their specific work context is equally important. Device effectiveness is not measured solely by its technical function – it must be evaluated by how well it improves the user’s participation and quality of life.

A 2023 systematic review by Ebuenyi et al., published in JMIR Rehabilitation and Assistive Technologies, examined the use of assistive technology among persons with disabilities, focusing on its associated socioeconomic and health benefits. The review highlighted that AT is most effective when it is matched to the individual’s specific functional limitations and environmental demands – not just prescribed generically. This aligns with a broader body of evidence showing that poorly matched devices are often abandoned.

A comprehensive review of AT outcome measures published in the same journal identified eight key domains used to assess device impact: functional efficacy, satisfaction, psychosocial impact, caregiver burden, quality of life, participation, confidence, and usability. The two most widely applied assessment tools are the Quebec User Evaluation of Satisfaction with Assistive Technology (QUEST) and the Psychosocial Impact of Assistive Devices Scale (PIADS). These tools confirm that effective AT assessment must go beyond physical function and consider the emotional and social dimensions of device use – both of which directly affect workplace performance.

The National Academies of Sciences, Engineering, and Medicine also emphasizes that effective AT use requires proper fitting, adequate training, and consistent follow-up care. A well-chosen device that is not properly fitted or explained to the user will fail in practice, regardless of its technical capabilities. This makes the involvement of qualified AT service providers critical at every stage of the process.

The role of employers in providing assistive devices

Creating an accessible and inclusive workplace is both a legal obligation and a strategic advantage for employers. The question is not only which devices are available, but who is responsible for ensuring PwDs have access to them.

Under the Americans with Disabilities Act (ADA), employers are required to provide reasonable accommodations for employees with disabilities, which explicitly includes assistive technology. Title I of the ADA states that employers must either acquire new accessible devices or modify existing ones so that an employee with a disability can use them. This is not optional – it is a legal right that employees can formally request. Importantly, this applies whether the employee works on-site or remotely.

It is the employee’s responsibility to initiate the request by self-identifying their disability and the specific accommodation needed. However, employers can facilitate this process by creating clear channels for accommodation requests and by working proactively with HR specialists, vocational rehabilitation services, and AT professionals to identify suitable solutions.

Beyond compliance: building an inclusive culture

Organizations that thoughtfully incorporate AT into the workplace do more than fulfill legal requirements – they gain measurable benefits including increased productivity, stronger workforce retention, and greater revenue. The World Health Organization has emphasized that equal access to assistive technology enables PwDs to participate more successfully in the labor market, with benefits that extend to individuals, employers, and society as a whole.

Assistive technology also empowers employees with disabilities to take on more complex roles, pursue career development, and contribute meaningfully beyond entry-level positions. When employees know that their employer will provide what they need to do their job, confidence and engagement improve alongside performance. Inclusive workplaces are built not just by installing a ramp or purchasing a screen reader, but by cultivating a culture where accommodation is normalized and accessibility is embedded into workplace design from the outset.

The role of AT service providers and vocational rehabilitation

State Vocational Rehabilitation (VR) agencies play a significant role in supporting both employees and employers in the AT process. They provide services such as AT evaluation, product demonstrations, training, and in some cases, funding assistance for devices. For employers uncertain about where to start, consulting resources like the Job Accommodation Network (JAN) or the AbleData database provides access to individualized AT recommendations, ADA guidance, and worksite accommodation solutions at no cost.

Ultimately, the effectiveness of assistive devices in the workplace depends on a shared commitment – from the employee who advocates for their needs, the employer who responds with genuine support, and the AT professional who ensures the right match between person and device.
